What is Annual Registration?

Registered Student Organizations (RSOs) are expected to complete annual registration by the established deadline provided by the Center for Student Engagement.  Failure to complete the annual registration will result in RSO suspension.

FSL Annual Registration Timeline

  • January 8, 2024: AR form opens in your Engage portal
  • January 19, 2024: Registration is due @ 11:45 PM for organizations electing officers on a calendar year
  • April 15, 2024: Registration is due @ 11:45 PM for organizations electing officers on an academic year
  • April 14, 2024: Suspension notices will be sent out at 10:00 AM 

Three Steps to Complete Annual Registration as a Greek RSO

The Annual Registration is a multi-step process that is intended to be completed over time. During Annual Registration, the incoming President and Treasurer are expected to complete several requirements. Outgoing officers cannot complete re-registration.

  1. The Incoming President submits the Annual Registration Form found in your Engage portal. If you are not listed as the President in your Engage portal, visit Officer Requirements on this page for additional details.
  2. Your Faculty/Staff Advisor submits the required FSL Faculty/Staff Advisor Agreement before your AR deadline. Visit Advisor Requirements on this page for additional details. 
  3. The Incoming Treasurer submits the Treasurer Terms & Conditions form before your AR deadline.

Information Needed for the Annual Registration Form

The information you will be asked to provide in the Annual Registration form varies based on your organization type. See details below based on your organization type. 

Chapters

  1. Upload the most recent version of your Constitution/Bylaws.
  2. Banking account types.
  3. Member & officer roster upload using GT usernames (more details below).
  4. Contact information for incoming officers.
  5. Upload your national risk management policy document.
  6. Upload proof of insurance for your organization.
  7. Alumni & house corporation contact info (if applicable).
  8. Current Semester Live-In House Roster (if applicable).

Governing Councils & Greek Honoraries

  1. Upload the most recent version of your Constitution/Bylaws.
  2. Banking account types.
  3. Member & officer roster upload using GT usernames (more details below).

Roster Upload Details

All rosters should contain the following (at a minimum):  

  • ONE President  
  • ONE Treasurer 
  • ONE Faculty/Staff Advisor  
  • AT LEAST 5 student members (including officers)  

For each entry, the following are required:  

  • Column A: GT Username (Use qpburdell3, NOT burdell@gatech.edu)
  • Column B: Position (Presidents, Treasurer, Advisor, Member, etc.)  

If your organization does not submit the roster in the correct format, your submission will be denied and you will be asked to complete the form again. Please download a copy of the Roster template to format the Excel document you will upload in the Annual Registration form.

Additional Roster Requirements for MPC & NPHC Chapters:

In addition to the required positions listed to the left, the following are also required:

  • ONE Recruitment/Intake Chair
  • ONE Council Delegate

The same person may fill multiple positions, but a separate line entry should be made for each position.

Additional Roster Requirements for IFC & CPC Chapters:

In addition to the required positions listed to the left, the following are also required:

  • ONE Risk Manager
  • ONE Recruitment Chair
  • ONE New Member Educator
  • ONE Council Delegate

The same person may fill multiple positions, but a separate line entry should be made for each position.

Officer Requirements

All Registered Student Organizations including Greek RSOs must have 2 distinct elected student officers filling the roles of President and Treasurer.

Adding Members and Updating Officer Positions in your Engage Portal

It is the expectation that all officer positions within your RSO are updated in your Engage portal with the correct information. If you have a leadership change, updating your roster as soon as possible is essential to a successful officer transition.

Treasurer Terms & Conditions

Per the Student Organization Policy, all finance officers of RSOs are required to agree to a set of terms & conditions annually. The incoming Treasurer of your organization is required to complete this form as a component of Annual Registration.

Faculty/Staff Advisor Requirements

Organizations must re-register with the Center for Student Engagement every Spring. Your organization will be marked inactive if it is unable to successfully re-register by the deadline (including submission of the advisor form). 

What is required of the Faculty/Staff Advisor? 

The Faculty/Staff Advisor is required to complete the Advisor Registration form. To access the form, you will first log in to engage.gatech.edu using your GT credentials. After logging in (and in the same browser window), copy and paste this direct link: (https://gatech.campuslabs.com/engage/submitter/form/start/566730)

Important Notes for the Advisor Registration form: 
  1. To ensure we receive your verified signature on this form, you must be logged in to your personal account in Engage when completing this form. We cannot accept forms on your behalf which are submitted from other accounts (e.g., from the RSO President’s account). 
  2. The questions detailed on the Advisor form are designed to ensure that all RSOs are in compliance with Institute policy. We thank you for your patience and time in completing this form.
  3. If you advise more than one Registered Student Organization, you need only complete the Advisor Registration form only once. Please list the full name of each RSO you advise in the Advisor Registration form.  
Do I have to fill out an Advisor Registration form for each RSO I advise? 

No! You can fill out the form one time and list every RSO you advise in your single submission. We’ve made this change to make the Advisor process easier for you. 

What are the eligibility requirements to be an advisor? 

All RSO advisors must be full-time, exempt (not eligible for overtime) employees of either Georgia Tech or the Georgia Tech Alumni Association. If you’re unsure if you meet this eligibility, email the RSO team.
